What does WorkflowPal do?

We design and build custom AI agents and workflow automations for small and mid-size businesses, from a US base and for clients worldwide: the lookups, data entry, status updates and first drafts that eat skilled people’s time. Builds are fixed price and run in your own accounts. See the services.

What is the free workflow audit?

You describe how a process runs today and get back a one-page plan: the 3 tasks worth automating first, hours saved, and what a build would cost. It takes about 15 minutes of your time and there is no obligation. Request the audit.

What is the difference between an AI agent and a workflow automation?

A workflow automation follows the same steps every time, with AI inside some steps to read, classify or draft. An agent decides which steps to take to finish a task, within limits you set. Most projects combine both. Read the comparison.

How fast do you reply to an audit request?

We reply within 24 hours, personally, with next steps or a couple of clarifying questions. Request the audit.

Do I need to switch tools?

No. We build on the CRM, inbox, spreadsheets and industry systems you already use. Nothing gets ripped out, and your team has nothing new to learn.

Which industries do you work with?

Mostly staffing and recruiting, freight brokerage, manufacturing, e-commerce, B2B SaaS, marketing agencies, real estate and law firms. The pattern works anywhere skilled people spend hours moving information between systems. See industries.

Cost and timeline

How do you price projects?

Fixed price per scope, agreed in writing before work starts, with clear milestones. There is no open-ended hourly billing. How pricing works.

How much does a project cost?

Your first workflow starts from $1,000, fixed price (the exact figure depends on its size), and ongoing automation starts from $3,000 a month. The audit is free. Platform and AI usage fees are billed by those providers directly. Prices as of October 2026. See pricing.

How fast can the first workflow go live?

Usually within a couple of weeks of agreeing the scope. Larger projects are split into milestones so something useful ships early.

Are there ongoing costs after the build?

Only platform and AI usage fees. Platform and AI usage fees (for example n8n, Make or Zapier, and OpenAI or Anthropic) are billed by those providers directly, to your own accounts; we estimate them in your audit plan. Ongoing work with us is optional.

Security and data

Is our data used to train AI models?

No. What we build runs in your own accounts and uses AI providers’ business APIs, which do not train on your data by default. Steps that send something to a customer or change a record can be set to wait for a person’s approval.

What if an AI step makes a mistake?

Outputs that reach a customer or change a record can wait for a person to approve them. Low-confidence cases go to a human instead of guessing, and every run is logged so problems are easy to trace and fix.

Where does my data live?

In your own accounts: your CRM, your inbox, your cloud and your AI provider account. We work with the access you grant and hand everything back at the end.

Do you sign NDAs?

Yes. If you want an NDA in place before you share details of your process, send it over and we will sign it.

Ownership and support

Who owns what you build?

You do. Everything runs in your accounts on your tools, and you get documentation and a recorded walkthrough at handover. There is no platform you have to keep paying us for.

Do you offer ongoing support?

Yes, optionally, as an ongoing automation engagement from $3,000 a month: we keep running, improving and adding workflows. Or run it yourself; everything is documented and in your accounts.

What if you are not around later?

You are not locked in. You get documentation and a recorded walkthrough, and everything runs in your accounts, so your team or any competent developer can maintain it.

What if it doesn’t work?

Each milestone is demoed on your real examples before you approve it. Fixed price, built to spec, or your money back. Before we start, we agree in writing on exactly what your workflow will do. If what we deliver doesn't do that, we fix it at no cost; if we can't, you get the build fee back. Every build also includes 30 days of free fixes after launch.

Who will I work with?

You work directly with the founder, from the audit through handover. There is no account manager or hand-off to a junior team. About WorkflowPal.

Is my project too small?

If a task eats a few hours a week of skilled people’s time, it is worth an audit. The first workflow usually takes 10+ hours a week off a team. If yours isn’t worth automating, the audit will say so.

Do you work with companies outside the US?

Yes. WorkflowPal is US-based and works with clients worldwide, remotely. Everything runs in your own accounts, so where you are located makes no difference to how the build works.

Can I see results from businesses like mine?
