AI automation for recruiting and staffing firms
WorkflowPal builds AI workflows that take sourcing, outreach drafting, ATS updates and interview scheduling off your recruiters. At a staffing firm, sourcing went from 20+ hours a week to under 1 hour a week, and placements per recruiter went from 3 to 5 a month with the same headcount. Start with a free audit.

Where do recruiters lose the most time?
- Sourcing every new job order by hand across the ATS, LinkedIn and job boards, then shortlisting.
- Re-keying the same candidate between the ATS, email and spreadsheets to move one person forward.
- Scheduling interviews over email between candidates, clients and recruiters.
- Writing up submittals while the client waits. Whoever gets a qualified candidate in front of the client first usually wins the placement.
What can AI automate for a staffing firm?
| Workflow | Today | With automation | Plugs into |
|---|---|---|---|
| Sourcing on job-order intake | Recruiter searches the ATS and job boards for each req | Matching candidates pulled and ranked the moment the job order lands; outreach drafted | ATS, LinkedIn, job boards |
| Candidate write-ups | Typed up from the résumé and call notes | First draft written from the résumé and notes for the recruiter to edit and send | ATS, email |
| ATS updates | Re-keyed after every call and email | Logged to the right record from email and call notes | ATS, email, spreadsheets |
| Interview scheduling | Email back-and-forth | Times offered, confirmed and synced to the calendar and ATS | Email, calendar, ATS |
Anything that goes to a customer, a candidate or a carrier, or changes a record, can wait for a person to approve it until you trust it.

Will it work with our existing tools?
Yes. We build on the tools you already run (your ATS, LinkedIn, job boards, email and spreadsheets), so nothing gets ripped out and your team has nothing new to learn. If a system has an API, an export or a shared inbox, we can usually work with it. The audit confirms this for your specific stack before you commit to anything.
How do we start?
Request a free workflow audit. Tell us how a req moves from job order to submittal. You get back a one-page plan: the 3 tasks worth automating first, hours saved, and what a build would cost. It takes about 15 minutes of your time, and there is no obligation to buy anything.

Frequently asked questions
Will it replace recruiters?
No. It takes over sourcing, data entry and scheduling so recruiters spend their time with candidates and clients. At the staffing firm above, headcount stayed the same and placements per recruiter went from 3 to 5 a month.
Does it work with our ATS?
If your ATS has an API or a reliable export, yes. Most modern ones do. The audit checks yours before you commit to anything.
Will candidates know the outreach was drafted by AI?
Drafts are reviewed and sent by your recruiters, from their own inboxes, in their own voice. The AI does the first pass; the recruiter decides what goes out.
Is our data used to train AI models?
No. What we build runs in your own accounts and uses AI providers’ business APIs, which do not train on your data by default. Steps that send something to a customer or change a record can be set to wait for a person’s approval.
