Zapier vs. Make vs. n8n vs. custom code for AI workflows

Zapier is the fastest way to connect popular apps with simple logic. Make handles more complex branching visually. n8n adds self-hosting and code steps for technical teams. Custom code fits workflows with messy inputs, heavy AI logic or strict testing needs. Pick the simplest option that handles your exceptions.

When is Zapier enough?

When the trigger and the steps are simple and the apps are popular: a form submission creates a CRM contact and posts in Slack. If your team can build and fix it themselves in an afternoon, that is usually the right answer, and we will say so in an audit.

When does Make or n8n make more sense?

When the flow branches, loops over lists or needs several AI steps. Make suits a power user who prefers a visual builder. n8n suits a more technical team, especially if data must stay on your own servers, because you can self-host it and drop into code when needed.

When is custom code the better choice?

When inputs are messy (free-text emails, PDFs), the AI logic is the core of the workflow, volumes are high enough that per-task pricing hurts, or failures are expensive and you want proper tests. Custom code costs more to build but nothing per task, and it lives in your repository.

What do we use?

Whatever is simplest for your process and your team to own. Often that is a mix: a no-code platform for the plumbing and custom code for the AI-heavy step. The audit recommends one, with the reasoning, before you commit.

Frequently asked questions

Can we start in Zapier and move to custom code later?

Yes, and it is often sensible. Build the simple version first, learn where it breaks, then move only the hard step to code.

Which option is cheapest?

At low volume, a no-code subscription usually is. At high volume or with heavy AI steps, per-task pricing adds up and custom code can cost less to run. Compare total cost including your team’s time to maintain it.
